Health Claims Process Explained
Health claims are requests submitted to health funding sources like Private Health Insurance to receive rebates for eligible healthcare services. Understanding the claiming process helps you access your benefits efficiently and avoid unexpected costs.
This guide explains how health claims work, the difference between instant and manual claiming, and what to do if a claim is rejected.
What is a health claim?
A health claim is a formal request to a health funding source (most commonly Private Health Insurance) asking for reimbursement of an eligible healthcare expense. When you receive a service covered by your policy, you can submit a claim to receive your rebate.
The claim contains information about the service provided, including the date, provider, service type, and amount charged. The health fund assesses this information against your policy to determine the rebate amount.
Types of claiming
There are two main ways to submit health claims:
Instant claiming (also called on-the-spot claiming) happens at the time of your appointment. The provider submits the claim electronically, and your rebate is processed immediately. You only pay the gap amount.
Manual claiming happens after your appointment. You pay the full amount, then submit a claim yourself through your health fund's app, website, or by visiting a branch. The rebate is deposited into your bank account.
Instant claiming
Instant claiming is the fastest and most convenient way to receive your health fund rebate. Here's how it works:
- The provider enters your service details into their claiming terminal
- You swipe or tap your health fund card (or provide your membership number)
- The terminal sends the claim to your health fund
- Your health fund approves the claim and confirms the rebate amount
- You pay only the gap (the difference between the fee and the rebate)
This process takes seconds and eliminates the need to submit claims manually afterwards.
Manual claiming
If instant claiming is not available, you can submit claims manually:
- Pay the full service fee to the provider
- Obtain a receipt with all required details
- Log into your health fund's app or website
- Submit the claim with receipt details or photo
- Wait for the claim to be assessed (usually 1-5 business days)
- Receive your rebate in your nominated bank account
Keep your receipts until you've confirmed the rebate has been paid.
Understanding claim rejections
Sometimes claims are rejected or only partially paid. Common reasons include:
- Service not covered: The service type is not included in your extras policy
- Limits exceeded: You've already claimed up to your annual limit for that service category
- Waiting period: You haven't held the policy long enough to claim for that service
- Provider not recognised: The provider doesn't meet your health fund's requirements
- Incorrect details: The claim information doesn't match policy requirements
If your claim is rejected, contact your health fund for an explanation. You may be able to correct errors and resubmit.
